2. What we collect

When you request a consultation: the parent or guardian's name, the student's name and grade, your email address, your WhatsApp number (optional), the country where the student is based, the programme you are interested in, the student's prior debate experience, and anything else you choose to tell us.

When a student is enrolled: attendance, session notes, speeches and feedback, competition entries and results, and the messages we exchange by email or WhatsApp.

When you pay: the payer's name, the amount, the date, and the transfer reference. We do not collect or store card details. Fees are paid by bank transfer or another agreed method.

When you visit the website: our website is hosted by Wix, which uses cookies and collects technical data such as your IP address, browser type and the pages you visit.

Students under 18: we collect student information from the parent or guardian, who provides it and consents on the student's behalf. If you are under 18, please ask a parent or guardian to contact us.

3. How we use it

We use personal data only to respond to your consultation request and recommend a suitable programme; schedule and deliver coaching, give feedback, and register students for competitions at your request; invoice fees and keep the financial records the law requires; keep you informed about your student's programme; and keep the website secure and working.

We rely on the following legal grounds: steps you ask us to take before enrolling, performance of our coaching agreement, compliance with legal obligations, our legitimate interest in running the service, and your consent where we ask for it.

We do not sell personal data. We do not use it for advertising or profiling. We do not send marketing messages without your consent.

4. Session recordings

Some sessions may be recorded so that students can review them. We tell participants before recording starts. Recordings are shared only with the students enrolled in that session or group, are not published, and are deleted within 90 days.

5. Publishing results and photos

We publish a student's name, photo or competition results on our website or social media only with the parent or guardian's written consent. You can withdraw that consent at any time, and we will remove the material as soon as practicable.

6. Who we share it with

We share personal data only with the service providers we use to run The Debate HQ: Wix (website and forms), Google (email, calendar and file storage), Zoom (sessions), WhatsApp (messaging) and our bank (payments). Some of these providers store data outside Pakistan and Türkiye, including in the United States, under their own data protection safeguards.

We also share a student's details with tournament organisers when we register the student for a competition at your request. We disclose personal data to authorities only when the law requires it.

7. How long we keep it

Consultation requests that do not lead to enrolment: deleted within 12 months.

Student records: kept while the student is enrolled and for up to 2 years afterwards, then deleted.

Session recordings: deleted within 90 days.

Financial records: kept for as long as tax law requires.

8. Your rights

You can ask us to give you access to, or a copy of, the personal data we hold about you or your child; to correct it; to delete it; to restrict or object to how we use it; and to stop using it where you gave consent, by withdrawing that consent.

Residents of Türkiye have these rights under Article 11 of the Personal Data Protection Law No. 6698 (KVKK). Residents of the EU or UK have them under the GDPR or UK GDPR. Other countries' laws may give you similar rights.

To use any of these rights, email muhammadhassanqaiser@gmail.com. We will respond within 30 days. You may also complain to the data protection authority where you live.

9. Security

We keep personal data in password-protected accounts and limit access to what is needed to run the service. No method of storage or transmission is completely secure, but we take reasonable steps to protect your data.

10. Changes to this policy

We may update this policy from time to time. We will email enrolled families about any material change.
